MINUTES OF MEETING MAY 26, 2009

TREASURER’S REPORT: Roko Nikolic reported as follows:

OLD BUSINESS:
T-Shirts: Tania Swan reported the cost is $1015 + tax for 100 shirts. Sizes to be 25 YM, 25 YL/SM, 15 Med, 10 XXL, 15 XL and 10 L. Shirts will have a new design front and back with the back being 4 color and the front 2 color. After some discussion it was decided to proceed with ordering the shirts at this time.
Award Stickers: Tania Swan reported we can get 1000 for under $300. They are a laminated sticker in the shape of a BMX number plate. The colors will be gold, silver and bronze for 1st, 2nd and 3rd with placed stickers being of different colors. Tania has also asked for a Non-profit club discount. There was an approval given at the prior meeting to spend up to $300 so Tania was given the go ahead to order.
Concession/Committee: Cindy Nikolic updated us that our concession can run as normal with pricing to be by donation and we will now call it a Snack bar. In the case of a big event (Nationals), we will need to approach JDF for approval to sell food. They will then tender it out. If more than 35 people will be in attendance then JDF will not be able to handle the event and we will be able to proceed with doing it ourselves with the JDF receiving 15% of the income. A new Snack Bar Committee Chair was elected tonight. Ron Noullette nominated Kathleen Church with Fiona Campbell seconding. Kathleen accepted, no other nominations were heard so Kathleen Church is now our new Snack Bar Chair.
NEW BUSINESS:
Track Rebuild: Ron Noullette reported that 60 truck loads of dirt were moved from the old track to the new site on Monday. At this time all the drains have been exposed and drain rock needs to be purchase to cover. Ron made a motion to purchase the drain rock @ $12/ton. Ron figures we will require about 10 loads of rock and we can use Ron’s account to purchase. The motion was seconded by Michele. A vote was held and the motion passed.
Ron also motioned to exchange the left over blocks (approx 10) with Copley to cover some of the costs we are incurring for use of equipment and manpower this week. Motion seconded by Roko. Vote held and motion passed.
Ron has estimated the club’s cost of the rebuild should be about $5000.
First Aid Kit: Lawney and Kash have expressed that the current first aid kit has expired and is short on supplies. Cindy said a new kit can be bought at Costco for $58. Lawney motioned to spend $58 to purchase a new kit. Tanya seconded. Vote held and motion passed. Shelley Noullette will pick up the new kit from Costco.
Gaming License: Fiona Campbell will be apply for a new gaming license so we can hold 50/50 draws and raffles.
Volunteers: A discussion was had as to how to get more parents/guardians to volunteer at the track. Michele informed us that in years past a Volunteers punch card had been used. It would be a business card size that would get hole punched every time a person volunteers at the track. After 5 punches a free race or hot dog and pop are earned for that Parents/guardians child. Michele will see if she can find an old card for us to work off. This idea was well received.
Intern President: Discussion was held that with Roger Barclay resigning from the executive that some position shifting was needed. Ron Noullette nominated Paul Nielsen for intern President. Nomination was seconded by Michelle Sawatzki. Paul accepted the nomination. No other nominations were heard. The executive will now be as follows:

Lavender Day Parade: To be mid July. Some question on to enter or not? What kind of commitment can we get? Kathleen will organize and more info will be posted on the web site as it becomes available.
Work Party: To be this Sunday May 31, 2009 @ 11am. Lots of work to be done at the new site before Billy Allen arrives.
Nick Goertzen Clinics: We will be in contact with Nick to get a clinic on the new track asap. At this time we are probably looking at some time in July. Keep watching the website as this will be updated soon.
Gaming Grant: Cindy informed us it is a no-go.
